Reports to: Admin and Finance Controller
Salary: TSHS: 350,000 (gross/monthly)

Administration Officer Details:

Job brief
We are looking for a competent, dedicated and smart female Office Assistant to help with the organization and running of the daily administrative operations of the ERM Attorneys office.

The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.


Responsibilities

  • Perform receptionist duties when needed. She will serve as a receptionist and maintain the front desk of the office.
  • Organize office and assist associates/staffs in ways that optimize procedures and processes.
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Schedule and plan meetings and appointments
  • Monitor level of supplies and handle shortages. This entails Ensuring availability of office supplies including availability of printer tonners, pens, pencils notebooks,
    cabinet files, printing papers etc.
  • Answer all telephone calls directed to the ERM landline phone or any other mobile phone dedicated for the office use.
  • Ensure and arrange logistics for the attorneys to attend clients and court matters as needed as per the attorneys schedule and as need arises.
  • Resolve office-related malfunctions and respond to requests or issues accordingly
  • Coordinate with other departments and aspects to ensure compliance with established policies and rules of procedure.
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Maintain the office petty cash to cater for normal operations of the office.
  • Keep all the receipts and account for all expenses arising from the monies entrusted to her.
  • Guide clients to the attorneys’ offices as needed and ensure conformability of the clients in accordance with the office guidance and needs.
  • Conduct basic accounting processes for the office

Requirements/Abilities/Knowledge/skills/Experience

  • Certificate/Diploma/Degree in Administration, Secretarial services
  • Proven experience in office assistant position, virtual assistant or in another relevant administrative role.
  •  Working knowledge of office equipment including computer ( Desktop, Laptops, tablets), Printer, tonners and tonner dispensation, office equipments sent up ets
  • Thorough understanding of office management procedures and Office policy implementation.
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills (fluency in Swahili and English preferred)
  • Knowledge of computer system administration
  • Proficiency in MS Office (MS Word, Excel, PowerPoint and Access)
  • Prior experience working with the law firm or related fields in a similar post will be an added value
  • Smart and friendly at place of work.
